Encodify Privacy Policy, Encodify Systems
This Policy describes the information we collect from you, how we use that information and our legal basis for doing so. It also covers whether and how that information may be shared and your rights and choices regarding the information you provide to us.
The information we gather from users allows them to set up a user account that can be used to manage or work in the Encodify system. In connection with Encodify, we request and display some personal information to other users of the Encodify system, which allows users to identify each other in workflows or similar processes. We collect the following types of information from our users.

What information we collect
1. Personal information you provide to us
In general, the types of Personal Information collected include your name and e-mail address. The Personal Information you provide is used for system authentication purposes only. If other personal information is collected it should be outlined in the system owner’s custom privacy policy, as Encodify systems can be customized for various purposes.
2. Personal information collected automatically
We receive and store certain types of information whenever you log in to the Encodify system. Encodify automatically receives and records information on our server logs from your browser including your operating system version, unique device identifiers, including browser type, IP address, Encodify cookie information, and the page you requested. We also record the details of your transactions on the Encodify system.
Generally, our service automatically collects usage information, such as the numbers and frequency of visitors to our site and its components. This type of aggregate data enables us to figure out how often users use parts of the Encodify system so that we can make Encodify appealing and performant to as many users as possible and improve those services.
3. E-mail communications
We may respond by email directly to end users if problems are reported via the Encodify system.
4. Browser cookies
Cookies are alphanumeric identifiers that we transfer to your computer's hard drive through your browser to enable our systems to recognize your browser and tell us how and when pages in our site are visited, and by how many users. Encodify cookies do not collect Personal Information, and we do not combine the general information collected through cookies with other Personal Information to tell us who you are or what your login name, name or email address is.
Most browsers have an option for turning off the cookie feature, which will prevent your browser from accepting new cookies, as well as (depending on the sophistication of your browser software) allowing you to decide on acceptance of each new cookie in a variety of ways. We recommend that cookies be enabled for you to take advantage of the services we offer in the Encodify system.
5. Third party service providers
We engage with certain third parties (for example, web hosting services, maintenance services and data collection services). These third parties may have access to some of your Personally Identifiable Information and/or your activity on our systems, but only to the extent necessary to perform these functions and provide such services, and Encodify requires such third parties to maintain the privacy and security of your Personally Identifiable Information in accordance with this Privacy Policy and the GDPR.
How we use the information we collect
We use the information we collect from the Encodify system to maintain and secure the system in order to protect the Encodify system and our users.
When you contact Encodify, we may keep a record of your communication to help solve any issues you might be facing and reporting. We may use your email address to inform you about our services, such as letting you know about upcoming changes, upgrades or improvements.
We use information collected from cookies and other technologies to improve or enhance the system experience and the overall quality of our services.
We will ask for your consent before using information for a purpose other than those that are set out in this Privacy Policy.
We will use information as required by law and according to the GDPR.
Encodify can process personal information on our servers in many countries, but always within the EU. However, we may process your personal information on a server located outside the country where you live.

Information from children
Encodify is not directed to children under the age of 13 and we do not knowingly collect personally identifiable information from children under the age of 13. If we learn that we have collected personally identifiable information of a child under the age 13, we will take reasonable steps to delete such information from our files as soon as is practicable. Please contact us at privacy@encodify.com if you believe we have any information from or about a child under the age of 13.
Changes to this Privacy Policy
Please note that this Privacy Policy may change from time to time. In the event we make material changes that reduce your rights or Encodify’s obligations under this Privacy Policy, we will post a notice in this section of this Privacy Policy notifying End Users when it is updated.
