We believe it's important to allow end-users to personalise their experience within Encodify. That's why when you login to Encodify after upgrading to our Winter '23 release you will notice we’ve made significant changes to the navigation system for all users.

 

We believe it's important to allow end-users to personalise their experience within Encodify. That's why when you login to Encodify after upgrading to our Winter '23 release you will notice we’ve made significant changes to the navigation system for all users.

Gone is the traditional top bar you will be familiar with - enter a sleek, more user-friendly sidebar navigation that makes a significant shift in enhancing the overall user experience, providing a modernised look and feel and a centralised navigation system that consolidates access to dashboards, modules, apps, notifications, background jobs, configuration management, help and your user profile. The updated navigation sidebar can now be accessed across more views, such as form view and creative automation studio, significantly improving the ease of navigation.

Let's dive into some of the exciting changes:

  • Briefing - aligned with our previous navigation allowing customers to access the briefing list

  • Dashboards - all your previously created or shared dashboards will now be accessible here. Now you have greater control to add frequently used dashboards as favourites, organise them into personal groups or archive them if you no longer want them to be visible in the sidebar. Accidentally removed an option you want to gain access to? Don't worry these can easily be retrieved at any time from your archived folder and made visible again.

  • Modules   - the modules you have been granted access to will be accessible here. Now you have greater control add frequently used modules as favourites, organise them into personal groups or archive them if you no longer want them to be visible in the sidebar. Accidentally removed an option you want to gain access to? Don't worry these can easily be retrieved at any time from your archived folder and made visible again.

  • Apps - allows access to one of our apps that have a dedicated UI such as Hours , Creative Automation Studio    or Creative Automation Studio Print 





     

  • Global Search - when enabled, allows for you to search by keywords across multiple modules

  • Notifications - relocated to provide greater visibility of all your system notifications regarding your work.

  • Background Jobs - provides visibility over the progress and completion of critical background processes and allows navigation to the result of the job execution.

  • Help - citizen developers can administer specific in-app guidance to help minimise the onboarding of new or existing users.

  • Configuration  - citizen developers will now be able to access all the administration tools from here including  Site Administration,  System Administration,  Automation Rules,  Field-toField Mapping,  Apps Library, User Management and   Themes.

  • User Profile   - provides access to your user profile allowing you to keep your details up-to-date and allows for your timezone and locale to be adjusted. It’s also possible to change your password from this panel and site and system administrators can switch user accounts.

As part of these changes the start/stop timer to record time spent on your work has received a makeover meaning you will always see the timer no matter where you navigate. We are sure that once you start to use these improvements you will love 😍 the added flexibility it will bring, however, we appreciate this is a major change to the product.

Share your saved filters

Share your saved filters

We believe it's important for customers to not only create powerful filters to find data but also that they have the power to share these with colleagues to avoid the need for them to be reconfigured. That's why it's been an important step to introduce this feature within Encodify.  

Let's explore the saved filter options now available:

  1. Personal - are existing saved filters that have not been shared to anyone
  2. Restricted - allows for the possibility to share to specific user(s), user group(s), access right(s). Only users who are granted access have access to view or copy the filter. Only the original filter creator has access to edit.
  3. Anyone with a link - allows for the filter to be accessed by anyone who has been shared the link to filter but will only be accessible within the list of saved filters by those it was shared directly. Only the original filter creator has access to edit. 
  4. Global - allows all users to access and copy this filter. Only admins can create and edit a filter of this type.

Delivering digital media campaigns that reach a wide audience will quite frequently result in many different variations of the same creative being produced in sizes and formats in order to meet the growing consumer demand for varied content. It soon becomes a challenge for customers during review and approval cycles to quickly identify errors and design inconsistencies across large volumes of content. 

This is not an isolated challenge only impacting the production of digital content and often is also experienced when reviewing other content such as static or digital catalogue. We are incredibly excited to introduce an industry-first batch file review tool that is fully integrated into marketing work management software available for all our supported file types including PDF, office documents, images, video, audio and web. 

Let's explore some of the functionality available:

  • A new batch overview screen provides users with a better visualisation of sizes and formats. When enabled any item (e.g. jobs) grouped by a parent item (e.g. projects) will be collected into a single window. 
  • All comments added to each individual file will be consolidated to provide a better overview of requested amends. The comments panel from the batch overview screen allows for editing existing comments, adding new replies, sorting (by filename, all comments, date added and access rights) and the possibility to mark a comment as resolved.
  • From each file the workflow can be transitioned to indicate acceptance or any amends/rework required - depending on your business process. 
  • More detailed annotations can be made by comparing versions uploaded to an individual item or comparing versions across different items. When comparing two different items you will now be able to add annotations on both the left and right-hand side preview.

In our Sept ‘23 release (available here) we spoke about the importance of ensuring that customers can add precise and clear annotations to ensure any required amends can be quickly applied without delays, avoiding excessive revisions. That’s why we have added support when reviewing video content to be able to toggle to display comments as time, timecode or frames to allow for greater accuracy in identifying the specific time period when the amends should be made.

Send messages to third-party messaging tools

Send messages to third-party messaging toolsKeeping your internal or external stakeholders informed as the work progresses has never been more important particularly with more of the workforce now frequently working from home. There is no guarantee that they are monitoring emails and monitoring progress manually can be incredibly time consuming  which can often lead to delays. 

We have added a new pre-built integrations to Microsoft Teams which will extend the notification automation rule with the possibility for citizen developers to define which notifications should be sent from your Encodify platform to the relevant third-party messaging tool either directly to a specified contact or to a dedicated channel.
